Why can't I just store my records in a "Self Store" site?
You can store your records in any reputable self store site, but basic storage is exactly what you will get. In today's business atmosphere where time equals profits, no business operation has the time or money to waste. For the same or lower cost than a self storage site, CRS provides a management tool that allows you to document the location and movement of any record, as well as a highly trained staff who will retrieve your records and bring them directly to you, exactly when you need them. There is absolutely nothing wrong with allowing a single employee to have the significant responsibility of maintaining the safety and integrity of your company’s vital records, but realize that without special care or protection against environmental issues, all those records could be lost forever. CRS is unique in that we have the resources to provide services in the event of a natural disaster (think snow storm!) in climate controlled vehicles that will not shorten the life of the media. You have to ask yourself: is it at all possible that your disks are being left in an unsafe environment for extended periods, subject to temperature variations and sunlight that could cause a loss of data? If the answer is yes, we suggest you contact CRS to arrange for a representative to meet with you to illustrate how the company provides failsafe protection.
Isn't it cheaper to scan all my hard copy records?
That is an office myth. Not only is it time consuming for your staff, it is actually more costly to scan documents. Generally speaking, to store one standard size box of documents for one year it would cost anywhere from $3.00 to $5.00. To scan the same documents, it could cost you roughly $250.00~~ and that does not include the cost of the electronic storage or the maintenance of the hard drives, etc.
However, there are many valid reasons to scan documents, with workflow being one of them. CRS is fully capable of assisting you in the analysis of your processes and providing consultation on what should be scanned and what should be kept as hard copy.
The best advice in this industry is "If it was born paper, it should stay paper and if it was born digital, it should stay digital".
What if I need immediate access to my records?
CRS is a 24 hour, 7 day per week facility. If you need immediate access to your records, just call 895-2120 any time, day or night. CRS makes all your records available on your time, making the wait for them an inconvenience of the past. Be assured that this service is always available, no matter the time of day or day of the week. If you are calling after normal business hours, you will be conveniently connected to our answering service, who will contact us immediately. You can have your records delivered to you within 2 hours, maximum, if you desire. CRS makes sure your records are only a phone call away.
